Speaker Agreement

Thank you so much for being part of UX Copenhagen 2024! Here are a few practical details, and a few requests.
 
I will send you specific details for your talk or workshop in a calendar invitation shortly. The specific time slot may change, and I will update the calendar invitation accordingly*.
 
IMPORTANT (Talks only, not workshops): Please send me your slides no later than Monday morning, March 18th at 8am. I need to collect them all in one large slide deck. Urgent changes can be made to the deck Wednesday the 20th before 9am and Thursday the 21st before 8:30am. Please contact the film crew with your changes. I do not have Mac, so please use either google slides ppt or pdf. You can also use Miro/Mural/Figma, as long as you send me a pdf of the slides. Thank you!!
 
Agenda:
The conference has one track of talks. The talks are scheduled for 30-45 minutes, and after each talk, there will be a live, 5-7-minute Q&A session with each speaker (talks only, not workshops). During the Q&A, I will moderate all questions coming in from the audience, both live and online. 
 
Workshops are scheduled for two hours after the lunch break. There will be several workshops to choose from both afternoons.

Food:
We’ll be serving coffee and a croissant both mornings. For lunch, we are serving two different poke bowls from Oliolik, tofu and vegan chicken. The menu is here: https://www.oliolipoke.dk/menu
 
During the day, we’ll be serving snacks, and promise to provide both gluten-free, lactose free, and vegan options.
 
And of course there will be popcorn…

Events:
⭐ On Tuesday, March 19th, we are hosting a fun pre-conference event from 4:30 – 7pm. All conference attendees and speakers are invited to participate. More information will be posted here as we get closer to the event.
 
⭐  Also on March 19th, I would like to invite all speakers to meet each other before the conference. Please join me for a drink (or coffee/tea) at the Savoy Hotel and Bar, Vesterbrogade 34, 1620 Copenhagen V, from 7:30 – 8:30pm. (https://goo.gl/maps/TPu1GvSGafxz32mA6). This is for speakers only.
 
⭐ Wednesday the 20th, the conference is from 9:30am – approx. 5:30pm. There will be drinks afterwards at our venue, and then we’ll be going to a dinner event from approx 7-10pm. More information will follow. All conference attendees and are invited to participate. 
 
⭐ Thursday the 21st, the conference is from 9am – approx. 5pm.

AGREEMENTS
 
Speaker compensation:
This year, unless your company has sponsored your talk, there is a flat fee for all speakers: 
$2000 per in-person talk or workshop
$1000 per online talk or workshop
 
The in-person fee covers travel, accommodation, and speaker fees. Please book your own travel and accommodation, but let me know if you need any help. 
 
I don’t have any financial sponsors this year, so I am fully dependent on ticket sales.
 
Hotel recommendation:
We have gotten an offer from a really nice boutique hotel in a cool part of town close to the center, the Savoy Hotel & Bar, Vesterbrogade 34, 1620 Copenhagen V. (https://goo.gl/maps/TPu1GvSGafxz32mA6). They are offering us free cancellation up to 24 hours before your stay. These are their rates:

SAVOY HOTEL TERMS AND CONDITIONS:
The company agreement prices are valid per room, per night, and include our
Organic Breakfast Bag. This agreement is valid until 31 December 2024.
We will of course guarantee that our business partners get the best prices on the
market. If you find prices during the low season that are lower, and with the
same conditions, we will of course match these.
 
CANCELLATIONS:
Rooms booked with this company agreement have flexible cancellations up to 24
hours before the booking. Bookings can be cancelled for free up until 3pm on the
day before arrival. If the room is cancelled later than this, we will charge for the
first night.
Any cancellation must be in writing, and should go through Gitte Skov Nielsen at
mail@savoyhotel.dk.
Other hotel options are:
Wake-up Borgergade (approx. $90 USD per night). The rooms are small but clean, and it’s in a very central and surprisingly quiet part of town. I have had many guests stay here.
 
Ibsens Hotel (approx. $113 per night). I hear this is a nice place too, and it’s in a nice part of the city.
 
Carlton 66, Guldsmeden (approx. $96 per night). I have had several guests stay here too, and it’s a super cute boutique hotel in a very hip part of town.
 
Steel House Copenhagen (approx. $70 per night). This is actually a hostel, but I have heard many great things about the place! It’s very modern. You can book a double room for yourself for $70 per night, or you can even stay in a shared women’s or men’s dorm with 4-6 beds for like $25 per night.
 
Cabinn is a super cheap chain of hotels, but the rooms are TINY and I don’t recommend them at all. 
 
Transportation
We recommend that you travel to Copenhagen by train if at all possible.
 
To get to the city center from Copenhagen Airport, there is a metro right at the airport. You can take the M2 towards Vanløse, and change trains at Kgs. Nytorv. The M3 will take you to either Rådhuspladsen (City Hall), or to Copenhagen Central Station.
 
You can also stay on the M2 and get off at Nørreport, depending on where you are headed!

Please help shout out to your network that you’re speaking at UX Copenhagen 2023! I will be needing all the support I can get, I still need to sell a lot of tickets to break even. Please have a look at our graphics folder on Google: UX Copenhagen 2024 gfx. We have specific graphics for all speakers, and please feel free to use them as much as you’d like. 
 
All talks, plus workshops on the main stage, will be live-streamed, and recorded. The videos may be published on our youtube/uxcopenhagen channel after the event. Please let me know if this is ok.
 
Also, after the 2024 event, I will be publishing a book about the conference. I will publish the book as a free e-book, with the possibility to buy hardback copies on demand. The introduction will be my abstract for the theme. Then there will be a chapter describing each talk. If you would like to submit your own chapter, that would be wonderful, and I’ll compensate you with one hardback copy, and a link to the e-book for free distribution. You can also send me your speaker notes, and I’ll edit them into a chapter. The epilogue will be my summary of the conference. I (hellemartens.com) will have all rights to the written material of the book, but you can of course continue presenting your material as you please.
